This policy covers the Coach OS websites and the hosted systems we build and run for coaching practices. Coach OS is operated by John Boy Roxas, Philippines. The short version: we collect what the service needs to work, we never sell it, and you can ask for a copy or deletion of your data at any time.
What we collect on this site
- What you type into our tools. The fit assessment, the playbook, and the ask box store the answers and questions you submit, along with your name and email when you provide them, so we can send you your results and follow up.
- Where you came from. Links carry simple source tags (for example, that you arrived from LinkedIn) so we know which channel brought you. No advertising trackers, no third-party analytics cookies.
What we collect when we run your system
If you become a Coach OS client, your system stores your business details and, on your behalf, your clients’ data: contacts, check-ins, notes, milestones, signed agreements, and curriculum progress. That client data is yours. We access it only to build, maintain, troubleshoot, and support your system, and never for any other purpose.
Where data lives
Data is processed by the service providers the platform is built on: Google Firebase (database and authentication), Vercel (hosting), GoHighLevel (automation and email), Anthropic (AI features), and your own Stripe account (payments; card details go to Stripe directly and never touch our servers). Each provider processes data under its own privacy terms.
AI features
Coach OS uses AI to generate summaries, insights, and companion conversations. Text you or your clients submit to those features is sent to the AI provider to produce the response. We do not use your data to train models.
What we never do
- We never sell personal data, yours or your clients’.
- We never use your client list for our own marketing.
- We never share data with anyone except the service providers above, or where the law requires it.
Your choices
Email support@johnboydesign.com to request a copy of your data, correct it, or delete it. Every marketing email we send includes an unsubscribe link that works immediately. Coaches on the Care Plan can request a full export of their system’s data at any time, delivered within ten business days.
For coaches: your own obligations
You are responsible for your own privacy policy and any consents your clients must give you under the law where you practise. We provide starting templates; they are not legal advice.
