Most coaching tech demos show you a funnel. This page walks the part that actually decides whether a practice holds: the 365 days after somebody pays. Every piece of the system appears below in the order a real client meets it.
Meet Sarah. She is the sample client we follow from stranger to twelve-month proof. Her data is sample data; every screen she touches is the real, running system.
Sarah taps a link in a bio and lands on the practice’s own page, not a Linktree. She takes a short diagnostic, gets a genuinely useful result, and an AI Front Desk answers her one hesitation on the spot. By the time she books, the system already knows where she came from and what she needs, and the coach never typed a thing.
Checkout runs on the coach’s own Stripe account, with their real packages, one-time or payment plan or recurring membership. The page even knows Sarah’s diagnostic result and recommends the package that actually fits it. If she books a call and does not show, a no-show recovery sequence goes after the booking so the coach does not have to.
Before Sarah reaches anything else, she signs a real service agreement: drawn or typed signature, the exact wording snapshotted forever, IP and version recorded, countersigned, downloadable as a branded PDF. If she ever upgrades to a different package, the system knows the old signature does not cover the new terms and asks her to sign again. The coach edits the agreement text herself, no developer involved.
The dangerous window is right after payment, when excitement fades and doubt moves in. A welcome sequence lands on day 1, day 3 and day 7, written in the coach’s voice, and Sarah gets her own client portal: one link, her name on it, no password to lose.
Sessions are one hour. The other 167 hours are where a client quietly decides whether this is working. Sarah logs a daily check-in that takes under a minute and builds a visible streak. At 10 PM on a bad night she talks to the coach’s Coach Twin, an AI trained on this coach’s voice and boundaries, which knows her history and knows its own edges: anything serious is flagged to the human coach, never buried in a chat log. Her curriculum unlocks module by module, and her resource library shows only what matches the stage she is actually in.
On the coach’s side there is one dashboard: a pipeline of every contact, a health score on every client, a churn alert before the quiet ones disappear, and a Client 360 file that remembers everything Sarah ever said to any part of the system. Anything crisis-level goes to the top in red. No spreadsheets, no “let me check my notes.”
At 30, 90, 180 and 365 days the system checks in with Sarah: where she started, where she is, and a 0 to 10 score. When the score is a 9 or 10, it asks right then for a testimonial and a referral, at the emotional peak, not three months later when the coach finally remembers. The quote lands in a testimonials panel, with a downloadable branded card and a photo she consented to, ready to post.
Every package has a real access window, and the system watches it. Around day 83 of 90, Sarah gets a warm heads-up with a one-tap path to continue. If a card fails on a recurring plan, the coach knows. If Sarah does not renew, she is tagged, not lost: fourteen days later the dashboard says exactly who to reach back out to, while Sarah only ever sees a graceful wind-down.
At the year mark Sarah sees her whole story on one screen: where she started on day zero, every milestone score, her streaks, and an AI-written impact summary built from her own data. The coach gets the same thing from the other side: documented, client-by-client proof that the work works. And because Sarah referred two friends at her peaks, the last screen of her year is already the first screen of somebody else’s stage one.
The machinery none of the story stops to explain, because it never needs explaining until it is missing.
